Digital Dictation


Dictaphones have played a key role in law firms for many years now. Fee Earner time is a valuable resource and where possible should be focused on doing billable work for clients.

Over the years, technology has helped to speed up the more mundane tasks and allowed time to be used more effectively. From the photocopier to the computer, all the way through to the new generation of smart phones, things are getting smaller and more compact.

Dictation machines are very useful tools, however they do have several disadvantages that can now be overcome by using digital dictation tools.

Firstly, the older generation of dictation machines require tapes, meaning that not only do you have to ensure a supply of these is available, you also have to be able to get the tape to the person who is going to do your typing. This is fine if your secretary is only a few paces away, but what if you are at court or even on another continent?

Digital dictation means that with a small handheld device or maybe even a Blackberry or smart-phone, you can dictate your vital matters from anywhere in the world that has an internet connection. Smart-phone based solutions even allow you to dictate from the back of a taxi or whilst walking down the street if you really need to. Once you are finished dictating, you press a button and the file lands on your typist’s desk within two to three minutes. This allows you to get on with your day, safe in the knowledge that the urgent matter has been given due attention and you can then focus on the next task.

By using digital dictation you can gain flexibility and potentially allow your secretaries to work from home which can help your firm comply with new government legislation.
